DESCRIPTION

Reporting to Library Administrative Office Manager, and at the direction of the Communications & Engagement and Development Program Directors, this position will support development, communications, and events activities. The candidate will interact with donors, prospects, governmental, community, and business members, news media, campus administrators, faculty, and staff.

The individual will also independently perform a broad range of administrative and fiscal responsibilities, to include coordinating and making logistical arrangements for volunteer board, donor cultivation, stewardship, and community outreach events; scheduling meetings; researching, evaluating, and maintaining donor data; coordinating production, printing, and distribution of print, web, electronic publications, and notices; composing correspondence, documents, and briefings; coordinating mailings; preparing fiscal and statistical reports.

This position will also provide executive level administrative support to senior management in the Library Administrative Office

QUALIFICATIONS

  • Understanding of external and public relations principles, and interest in enhancing the Library's outreach and engagement efforts via individual and team contributions.

  • Demonstrated experience providing a full range of senior administrative support duties including calendaring, reception, travel coordination, database management, and correspondence.

  • Ability to research, extract, and organize information to produce concise reports utilizing a variety of sources such as alumni/donor/prospect research.

  • Experience organizing, scheduling, and making logistical arrangements for meetings and events of various sizes, including parking, catering, and vendor payments. Skill and judgment in assessing priorities and negotiating schedules and room assignments.

  • Strong verbal and written communication skills with ability to compose, proofread and edit letters, memos, brochures, reports, and other communication vehicles using correct rules of punctuation, grammar, and style. Attention to detail and accuracy in reviewing and proofing materials for dissemination.

  • Experience in using and adapting software programs, applications and tools to meet office needs. Proficient use of software necessary in administrative work including databases to retrieve current and historical data to compile reports and spreadsheets, and the ability to implement new systems to increase productivity.

  • Ability to organize workload to handle multiple tasks, work effectively, maintain accuracy and follow-through, and meet deadlines in a strong service-oriented environment with changing priorities and frequent interruptions.

  • Demonstrated ability to anticipate and recognize problems, suggest appropriate alternatives or solutions, initiate or implement solutions, and follow through independently.
