DESCRIPTION

Applies professional UC Academic HR concepts, organization and/or system wide policies, and procedures to provide guidance to supervisors and managers to resolve a variety of academic human resources issues of moderate scope and complexity.

As a member of the Academic Personnel (AP) team/unit, serves as advisor to the Chair, Vice Chair and MSO of the Scripps Institution of Oceanography (SIO) Department for all matters pertaining to academic affairs. Manages and coordinates academic personnel services, including appointments, reappointments and personnel actions, leaves, salary administration, benefits, promotions, merits, advancements, retirements, etc.

Provides executive administrative assistance to the Chair and Vice Chair. Serve as liaison between the SIO Department and the SIO AP/Dean's office, education programs, research sections and research divisions. Assists and serves as back up to other AP team/unit members with regard to faculty recruitments, immigration and visa duties.

QUALIFICATIONS

  • Basic knowledge of and ability to apply/interpret organization and college policies and procedures which govern academic HR.

  • Working knowledge of regulations, policies and procedures including academic affirmative action, submission of appointment, merit, promotion, re-appointment and termination of files.

  • Knowledge of University procedures and regulations concerning academic personnel practices and policies including salary scales, merit cycles, range adjustments, leave accrual benefits, policies on benefits and payroll. Ability to interpret policies for employees.

  • Knowledge of organization, college and departmental formal and informal policies and procedures and understanding of variances to stated policies.

  • Demonstrated knowledge of unit academic culture and educational goals of discipline(s) served.

  • Demonstrated analytical skills to conduct analysis and develop recommendations to Chairs/unit management.

  • Ability to manage academic personnel deadlines, including ability to coordinate, guide and orchestrate academic personnel at all levels in a fashion that insures faculty confidence thereby providing for a smooth process.

  • Ability to read and interpret instructional and procedural documents. Excellent grammar and writing skills. Proven skill to perform highly detailed work.

  • Skill and experience to use and maintain a computerized system. Familiarity with Macintosh computer systems and related software (e.g., Microsoft Word and Excel).

  • Skill in utilizing multiple resources and references including APMs. Ability to work with various offices on campus and other campus departments for acquisition of information.

PREFERRED

  • Demonstrated knowledge of the UCSD payroll personnel systems: PPS, vacation accrual system, payroll, PETs, TOFs. Ability to manage all aspects of faculty/teaching staff payroll functions as applied to a large academic department.

  • Experience in academic personnel in a higher education setting including review and appointment file preparation.

  • Experience with UC San Diego Academic Personnel Policies and Procedures.

  • Knowledge of AP-online, PPS, EmployeeLink and other university business systems regularly used in the performance of academic personnel and payroll.

  • Familiarity with UC San Diego Academic Compensation Policies.

  • Demonstrated knowledge of academic salary scales and compensation plan.

  • Knowledge of human resources management systems and other related business software programs and systems.
