DESCRIPTION

Under general direction, works on operational and/or procedural assignments that require the exercise of considerable discretion and independent judgment. Tasks involve the handling of confidential information. Understands implications of work and makes recommendations for solutions. Determines methods and procedures on new assignments. This is a position that is covered by the Higher Education Employer-Employee Relations Act (HEERA).

Initial point of contact for Employee Relations and Work/Life. Manages calendars for Employee Relations and Work/Life professional staff. Works on sensitive issues such as disciplines and investigative reports. The incumbent has primary responsibilities for the logistics for a busy division event and training schedule that includes campus-wide recognition ceremonies (service award, employee of the year), and other work/life events.

  • Must have access to reliable transportation.

  • Occasional evenings and weekends may be required.

  • Overtime may be required.

QUALIFICATIONS

  • Thorough knowledge of administrative procedures and processes including word processing, spreadsheet and database applications.

  • Strong computer skills. Proficiency in Word, Excel, PowerPoint, Access, etc. including special formatting features and database connection tools.

  • Requires good verbal and written communication skills, active listening, critical thinking, multi-tasking and time management skills.

  • Excellent writing, editing, spelling and proofreading skills. This includes format grammar, structure and content. Excellent interpersonal skills.

  • Requires interpersonal and work leadership skills to provide guidance to other non exempt personnel.

  • Possesses skills of tact, diplomacy and flexibility with all levels of the organization. Strong, demonstrated ability to communicate orally and in writing.

  • Proven skill and ability to enter data in a logical manner with a high degree of accuracy. Ability to maintain the integrity of files and data at all stages of processing.

  • Demonstrated knowledge of the principles and practices of event planning. Experience in arranging meetings and planning events.

  • Experience in general office support duties. Ability to use basic office equipment (copier, scanner, fax). Ability to answer multiple phone lines while providing excellent customer service.

  • Demonstrated ability to maintain a complex calendar with frequently changing priorities

  • Strong mathematical skills to compute and project budgets and cost estimates; to track expenses; to initiate recharges and reimbursements; and to read, analyze and reconcile ledgers.

  • Strong organizational and time management skills; ability to set priorities which accurately reflect the importance of job responsibilities and take into consideration deadlines, competing requirements and complexity.

  • Ability to use good judgment and discretion in confidential matters and a multitude of situations. Ability to work independently and efficiently with frequent interruptions.
