Incumbent serves as Senior Mail Processor providing integrated support to Material Support Services and Mail Services ---two divisions of Integrated Procure-to-Pay Solutions (IPPS) housed within Business and Financial Services (BFS). As a member of the Logistics unit, this position is responsible for managing, planning, organizing, and overseeing the daily operations of Outbound Shipping & Mail. Consults with campus departments and customers to ensure the implementation of programs and/or processes that reside in Outbound Shipping & Mail.

This position provides front-line customer relations, cross-functional support and performs a variety of duties related to the processing of Outbound mail, shipments and bulk mailings in accordance with campus, local and federal rules and regulations. Incumbent uses mail processing equipment or other technical and manual methods of processing providing rotational support across multiple sections as assigned.

Provides essential administrative support to the Director of Logistics and Outbound Shipping Program Manager. This position also utilizes UCSD fleet of vehicles (e.g., gas, hybrid and electric), for the collection of packages that are considered priority or hazardous materials, across the entire University campus and/or off-site locations.

  • Operate manual and automatic vehicles that include: gas and electric scooters, mini vans and cargo vans.

  • Knowledge of and ability to use safety techniques in lifting objects up to and including 70 pounds.

  • Must be willing to work with hazardous materials.

1) OSHA Certified for forklift operation. Experience with material handling equipment (forklift, pallet jacks and trucks with GVW of 15 tons. 2) Code of Federal Regulations - 49 (CFR49) Certified for Dangerous Goods, Department of Commerce regulations and U.S. Customs regulations.

  • Knowledge of mail preparation with ability to interpret U.S. Postal Service rules and regulations per the Domestic Mail Manual (DMM) and International Mail Manual (IMM). Knowledge of UPS and FedEx rules and regulations.

  • Ability to operate a variety of equipment: i.e. pallet jack, dock lift gate and postage machines.

  • Skill, knowledge, and ability to operate a computer with experience in Microsoft Word and Outlook.

  • Demonstrated knowledge and experience operating mail processing machines and equipment

  • Excellent verbal, written, customer service and interpersonal skills.

  • Ability to effectively direct, follow, and apply rules and regulations involving personnel. Skill at following detailed oral and written instructions with minimum supervision.

  • Skill at performing repetitive work according to varying work procedures, sequence and pace with excellent hand-eye coordination

  • Ability to meet daily deadlines by evaluating workloads and re-organizing when necessary.

  • Two to three (2 - 3) years experience as Mail Processor with knowledge of bulk mail processes.


  • Familiar with UC San Diego campus layout, departments, and physical locations on campus.

  • Knowledge of Mail Services operations, policies and procedures.

  • Experience processing mail in a university setting.


  • Job offer is contingent upon a satisfactory clearance based on background check results.

  • Must possess a valid CA driver's license and have thorough knowledge of California Vehicle Codes.

  • Overtime as required.

  • Must maintain current certification in the transportation of Dangerous Goods (Hazardous Materials) in accordance with the requirements of the U.S. Department of Transportation, 49CFR, Part 172, Subpart H.
