#94052 Administrative Assistant II-Pulmonary Function Lab

Under general supervision and direction of the Clinic Manager, serve as administrative support for the Pulmonary Function and Exercises Laboratories, responsible for providing office support and serving as an administrative resource in maintenance of daily patient services within the Pulmonary Function Lab and Respiratory Care Department. Incumbent is responsible for the comprehensive administrative function of the lab, requiring the determination of appropriateness of actions in administrative tasks.

Additional duties include, but not limited to: greeting patients, check-in and out procedures, appointment disposition, co-pay collection, updating patient demographics, advanced procedure appointment scheduling, insurance authorization/verification to which entails interacting closely and communicating clearly with a variety of private and government agencies. Utilize knowledge of various insurance products (i.e., HMO, PPO, POS) in order to obtain authorization for appointments and ensure payments/reimbursement. Working knowledge of the various UCSD Computer systems.

Organizes all patient clinical information in a presentable manner and maintains patient records and inpatient procedure records. Educates patients prior to clinic/procedure visits. Ability to communicate with clinical staff and patients via phone and in person in a professional manner. Answer multi-line and triage incoming calls. Sort and prioritize incoming and outgoing mail. Transcribe correspondence and type and prepare educational material/literature, other documents, memos and e-mails as requested. Manages the waiting room (i.e., keeping clean and orderly). Incumbent will be adept at multi-tasking while reflecting UCSD Core Values, excellent customer service, communication skills and utilizing knowledge of medical terminology.


  • Two (2) years of administrative experience in a large, complex healthcare environment.
  • Previous experience serving patients with pulmonary disease.
  • Advanced level skill in MS Office (Word, Excel, Outlook, PowerPoint).
  • Knowledge of procedure and clinic scheduling and authorization.
  • Ability to interact well with all patients.
  • Excellent customer service and organizational skills.
  • Ability to multi-task efficiently.
  • Knowledge of medical terminology.
  • Type 35WPM


  • Five (5) years of experience as an Administrative Assistant in a healthcare setting.
  • EPIC Cadence trained.
  • Co-pay collection experience.
  • Bilingual English/Spanish.
  • Knowledge of UC San Diego Health systems.


  • Must be able to work various hours and locations based on business needs.
  • Employment is subject to a criminal background check and pre-employment physical.
