Under direction, perform pre-award administration for selected PIs. Research, evaluate and summarize potential sources for funding for PIs. Compile and process all needed materials for grant submissions, function as liaison to Contract and Grants Administration (HSSPPO & OCGA) regarding procedures and submission requirements for proposals, compile and draft budget information for grant proposals. Coordinate all post award administration of contracts, grants, state funds, private gifts, donations, external purchase orders, subcontracts, agency accounts, and other related activities for assigned PIs.
Serve as the Express Card Administrator responsible for coordination, training and orientation for new card holders’ use of cards to ensure compliance, reconciliation, record keeping and validation of expenditures. Perform audit and account reconciliation for Shared Resources and billing and outside charges for the Cancer Center Recharge facilities. Maintain the Accounts Receivable and Aging Reports using basic knowledge of accounts payable and accounts receivable.
Responsible for providing administrative, research, and financial support to the Cancer Center's Business Office. Order supplies and equipment for the Administration and for building/space maintenance and the Business Office. Responsible for Marketplace orders, high value purchase orders, blanket orders, and office-related low value orders. Manage interaction with outside vendors and independently resolve disputes and complex problems with vendors. Assist in performing inventory management.
Knowledge of basic accounting principles, ledger reconciliation, and fund reporting. Experience with accounts payable and receivable.
Superior computer skills including word processing, spreadsheet, database illustration, and presentation software and applications. Ability to navigate and utilize electronic mail systems and the internet. Knowledge of MS Word, Excel, Power Point, Access, and Adobe Photoshop.
Experience in developing and maintaining various spreadsheets and databases. Experience in using a computer to design graphs, tables, charts, and other scientific data. Efficient and accurate data and typing entry skills.
Strong executive-level administrative skills; ability to determine priorities/organize tasks while working with parallel projects/multiple deadlines. Experience managing a complex calendar. Experience to coordinate meetings, conferences and/or workshops as well as travel.
Excellent written skills and knowledge of English language, including grammar, spelling, and punctuation usage, to compose, edit, and finalize correspondence. Excellent interpersonal and oral communication skills.
Demonstrated experience with purchase orders, budget transfers, travel vouchers, and all types of reimbursements and disbursement processes and procedures.
Experience analyzing complex financial issues, recognizing potential impact, identifying creative and alternative solutions, and making recommendations.
Demonstrated experience supporting Human Resources/Payroll and/or fund management functions in a business office. Knowledge of personnel funding and staffing issues.
Strong skill to communicate clearly, effectively, tactfully, and patiently in person, on the telephone and in writing to a diverse group of people in the academic and business communities. Ability to present a positive impression in person, on the telephone and through written correspondence.
Proven experience in contract and grant development and reporting, including federal grants. Experience with NIH and other grant organizations, procedures, guidelines and regulations, including researching potential funding sources.
Knowledge of UCSD policies and procedures, including accounting, and purchase of supplies and equipment. Familiarity with University forms and systems, including IFIS, ISIS, and Darwin.
Experience with and knowledge of UCSD procedures and protocols including Contracts and Grants Administration, Animal Subjects Office, Human Research Protection Program, Mail Services, Biomedical Library, Academic Computing Services, Office of Learning Resources, etc. Familiarity with University forms.
