This position reports to the Executive Administrative Supervisor and provides general assistance to the Directors and Management Team to ensure business needs are managed effectively. Duties include reception management, routing telephone calls appropriately, receiving and directing visitors, word processing, creating spreadsheets and presentations, conference room reservations, and filing. Exercises independent judgment and effectively deals with issues that are sensitive and/or confidential in nature.
Maintains strict confidentiality of all information. Independently completes projects as assigned. Maintains oversight of Network Management department files and reference materials to ensure documents are up to date. Coordinate bulk mailers with managers and vendors and printing of envelopes and business cards. Assist Utilization Management (UM) and Claims with mailing referral letters and stamping received mail. Assist with meeting preparations and scheduling interviews as needed. Serve as backup for administrative duties.
High school diploma or GED; or equivalent combination of education and experience.
Two (2) years relevant administrative support.
Proven experience in communicating clearly, effectively, and professionally on the telephone and in person and take clear and concise messages.
MS Word, Excel, PowerPoint, and Outlook calendaring.
Healthcare environment experience.
Knowledge of and experience with UCSD systems, policies and procedures.
