DESCRIPTION

Under supervision and guidance of the ARC Reviews Manager and Analysts, the ARC Review & Advancement Assistant Analyst will provide academic personnel services to Health Sciences departments and units through a shared service business model. In conjunction with the Reviews analysts, incumbent will share responsibility for administering academic personnel policies that span a comprehensive array of functional areas including but not limited to: faculty and academic employment (e.g. Senate and Non-Senate Faculty, Specialists, Project Scientists, Research Scientists, Lecturers, Unit 18s, and CLIFF) appointment and merit advancement, academic review, layoffs, immigration/visa processing, training and development, etc. The assistant analyst will primarily be responsible for his/her assigned academic reviews and advancement for each designated department portfolio.

In conjunction with the Reviews Manager and Analyst, participate in the planning, development, and comprehensive management of the faculty and academic appointment process. Analyze, interpret, and make recommendations on academic personnel policies and procedures. Generate and review confidential documents for academic advancement, and provides analysis and recommendations. Provide analytical support and preparation to the Reviews Analyst designated to his/her department portfolio. Assist the Reviews Analyst in preparing for the weekly, biweekly, and/or monthly client conference calls to discuss current transactions for the department. Under the guidance of the Reviews Manager or Analyst, incumbent will help in addressing department concerns and/or issues. Manage workflow and deadlines. Develop and prepare reports in a timely manner as it pertains to appointment end dates, visa end dates, etc. and take timely action. Audit and maintain academic files to ensure compliance with university policies and procedures.

Provide analytical and program support for various academic affairs functions within the Academic Resource Center. The position will assist in the development and implementation of academic affairs training and other special projects and programs for Health Sciences departments as necessary. Incumbent will serve as a shared services resource on academic affairs providing consultative services and acting as liaison between the ARC and Department Business Offices, faculty, Payroll, VA, Division Administrators, division staff, and other internal/external offices. Assist in short and long term planning, policy and program development, workflow assessment, and make recommendations to improve business processes and efficiency. Participate in short and long range planning and systems development. Assist in all other duties related to academic personnel administration as required.

MINIMUM QUALIFICATIONS

  • Graduation from college with a major in business administration, or an allied field or equivalent combination of education and experience.

  • Demonstrated working knowledge and experience of a broad scope of complex personnel related functions including generally accepted business standards related to appointment classification and compensation, recruitment and selection, policy and procedure development, compliance management, benefits administration, organizational development, terminations and layoffs, and affirmative action.

  • Demonstrated experience facilitating the academic review process for full time faculty and professional researchers including the ability to train staff on the duties and tasks related to the academic review process.

  • Demonstrated experience determining career path progression for new and junior faculty with ability to give sound advice on how to progress academically as defined by the faculty member, Division Chief and Department Chair.

  • Familiarity and/or working knowledge of academic personnel and academic affirmative action policies and procedures. Working knowledge of university academic personnel policies and procedures with ability to interpret, analyze, and apply.

  • Demonstrated experience analyzing CVs and histories; making sound recommendations as to placement in appropriate series, rank, and step.

  • Demonstrated ability to consult and act on initiative to implement a wide variety academic personnel functions and maintain absolute reliability in handling confidential and sensitive matters.

  • Demonstrated working knowledge of faculty and staff benefits. Knowledge and experience with leave administration (FMLA & CFRA).

PREFERRED QUALIFICATIONS

  • Familiarity and working knowledge of School of Medicine faculty salary scales and compensation plan. Demonstrated experience and knowledge of state funded contracts and grants, funding sources and clinical sources, as they relate to academic salary compensation.

  • Familiarity using Personnel Payroll System (PPS), Integrated Financial Information System (IFIS), UC Web-based systems, and other University systems.

SPECIAL CONDITIONS

  • Candidates must be willing to travel to various Health Sciences locations: Campus, Hillcrest, East Campus, etc. and maintain a flexible work schedule based on customer needs.

  • Must be willing to work occasional overtime as needed for deadlines and may be required to attend occasional meetings on the weekends.
