The Department of Family Medicine and Public Health has approximately 100 salaried faculty and is comprised of seven divisions: Biostatistics and Bioinformatics, Epidemiology, Family Medicine, Health Policy, Global Health, Preventive Medicine, and Behavioral Health. Our mission is to improve Public Health through preventive, behavioral, epidemiologic and clinical research, education and clinical care. Our patient care is provided at several locations across the county as well as through multiple initiatives with the medically underserved in our community and includes training of over 60 residents and fellows. With over $125 million in research grants and contracts, our award-winning faculty conduct innovative Public Health research at the intersection of behavioral and medical sciences to assess and understand chronic disease etiology, improve human health, and prevent disease at the individual and population level. The Program Affairs Coordinator will provide a variety of complex program support functions for FMPH faculty to include, but are not limited to, administrative point of contact for a large group of faculty; coordinating and scheduling appointments and meetings for faculty; organizing conferences, teleconferences, meetings, and other Departmental, Division, and programmatic events; coordinating travel arrangements and preparing travel expense reports; integrating technical and non-technical correspondence, research, and preparation of presentation materials, reports, manuscripts, and grant proposals; and performing a wide range of duties that require tact, independent analysis and judgment, diplomacy, organizational skills, and discretion. The incumbent(s) will independently make decisions on procedural and organizational issues, will manage programmatic and logistical planning, as well as aspects of facilitating development and distribution of educational materials and instructor and student communications.


  • Theoretical and operational knowledge of principles of higher education program administration, leadership, graduate education and student development; or an equivalent combination of education and experience.

  • Excellent oral and written communication skills. Experience composing and preparing correspondence, minutes, executive summaries and analysis using correct rules of grammar, style and punctuation.

  • Comprehensive and sophisticated knowledge of computer software (Microsoft PowerPoint, Word, Excel) as well as browsers, social media channels, HTML editors and a variety of web-related programs.

  • Ability to research data from a variety of sources, identifying and extracting relevant data.

  • Proven ability to maintain strict confidentiality. Ability to recognize issues of a highly sensitive and confidential nature and ensure that administrators are briefed in a timely manner.

  • Ability to set priorities in order to meet established deadlines; skills to work effectively in a high volume environment, dealing with numerous detailed projects simultaneously on short deadlines. Ability to work with minimum supervision, but also function effectively as part of a team.

  • Proven experience in programmatic planning and organization; Proven skills to evaluate programs, assess outcomes and realize programmatic objectives. Demonstrated experience in the areas of educational programs and courses, and student advising.

  • Demonstrated outstanding interpersonal and communication skills including tact, diplomacy and flexibility in dealing with all levels of faculty, student academics, staff and management, guests, vendors and the general public. Ability to use diplomacy, tact and discretion in all interactions.


  • Knowledge of the University's policies, procedures, and practices regarding student affairs, confidentiality of student files, TED (Blackboard) and the campus student information system (ISIS)

  • Knowledge of structure and function of the School of Medicine curriculum and associated committees' structures and processes.


  • Occasional overtime may be required.
