The UCSD Department of Cellular and Molecular Medicine (CMM) is one of two basic science units in the School of Medicine where world-class researchers study fundamental cellular processes and pathways using a variety of techniques from classical genetics and fluorescence microscopy to high-throughput genomics, systems biology, and crystallography. Our 36 faculty and over 200 postdoctoral scholars, graduate students, and research staff work on the cutting edge of biology, cutting across fields from basic biochemistry and genetics to genomics, systems biology and stem cell biology.
The faculty also play a major role in medical and graduate student training, providing educational and programmatic offerings that span several disciplines and provide diversity to meet the interests of a broad spectrum of students and scholars. Under minimal supervision, this position provides full range of administrative support for the Department. The Fiscal Assistant will demonstrate a high degree of professionalism in a rapidly changing environment, using independent judgment, strong organizational skills, and the ability to be flexible as demands and priorities change. Duties include arranging domestic and international travel; preparing reimbursements. The incumbent will also provide support to the department fiscal administrators and assisting with basic payroll and personnel activities for the HR Operations Manager. The Assistant will maintain sensitive and confidential information in electronic and paper form and must have the ability to extract, analyze, interpret and display data requested.
Proven administrative support skills and experience. Experience providing administrative support to business office and supporting financial managers.
Prior experience providing support to faculty, PhD's, working in a University setting providing administrative support to a basic science department.
Experience with human resources administration and related policies and procedures such as processing visas, understanding of various paid and unpaid appointments, updating job descriptions.
Proven experience arranging domestic and international travel, such as creating travel profiles. Experience or capability preparing and troubleshooting reimbursements.
Analytical ability and comprehension skills to understand and interpret complex written material and policy. Ability to analyze problems/situations. Ability and experience finding a correct series of tasks to manage goals of Department.
Proficient skills and experience using office software such as Microsoft Word, Excel, PowerPoint and browser software (Safari, Internet Explorer, Firefox) in a professional setting.
Strong, effective oral and written communication skills and the ability to communicate complete and accurate information. Ability to communicate effectively in English, both orally and in writing.
Excellent interpersonal and customer service skills including professionalism, tact, courtesy and diplomacy. Ability to interact effectively with faculty, researchers, technicians, and administrative staff from diverse cultural backgrounds.
Ability to manage highly confidential material in a discreet, professional manner. Ability to evaluate new information in light of existing priorities and react appropriately.
Punctual, reliable, and motivated to meet goals in short and longer terms.
- Bachelor's degree or equivalent education and experience
- Knowledge of UC policies and procedures relating to purchasing, travel and disbursements, requesting purchase orders and processing reimbursements.
- Knowledge of UCSD on-line systems (Marketplace, FinancialLink, MyTravel, MyPayments).
- Employment is subject to a criminal background check.
