Under the direction of the Jacobs School of Engineering Academic Personnel Manager, this position is part of the Academic Personnel Team with the Jacobs School of Engineering Dean’s Office. The incumbent will serve as the primary point person on academic personnel matters and as principal advisor to the Chair and Management Services Officer (MSO) to one or more departments within the Jacobs School of Engineering on all academic affairs issues.

This position applies professional UC Academic Personnel concepts, organization and / or system wide policies, and procedures to provide guidance to supervisors and managers to resolve a variety of academic personnel issues of moderate scope and complexity. This position is independently responsible for management of departmental academic affairs in one or more departments, including appointments, subsequent reviews and personnel actions, leaves, visas, salary administration, benefits, separations, grievances, layoffs, recruitments, etc. This position will be responsible for approximately 120 academics including, but not limited to, ladder-rank, emeriti and research faculty, adjuncts, lecturers, research and project scientists.

System-wide and local academic personnel policies and procedures are complex and actions are typically highly sensitive and confidential. Attention to detail and discretion are critical.

This position typically is located on campus. However, to maintain lower densities of individuals on campus during the pandemic, this position is temporarily remote.


  • Extensive knowledge of university, campus and department policies, procedures and regulations concerning all areas of academic personnel (recruitment, professional reviews, compensation, payroll, Summer Session, leaves, benefits, affirmative action, visas, discipline and conflict resolution) with the ability to appropriately interpret and implement those policies.

  • Basic knowledge of and ability to apply / interpret organization and college policies and procedures which govern academic HR.

  • Knowledge of organization, college and departmental formal and informal policies and procedures and understanding of variances to stated policies.

  • Knowledge of unit academic culture and educational goals of discipline(s) served.

  • Knowledge of human resources management systems and other related business software programs and systems.

  • Analytical skills to conduct analysis and develop recommendations to Chairs / unit management.

  • Demonstrated organization, problem solving, and communication skills.

  • Strong analytical, organizational, problem solving, negotiation and decision making skills; expertise to clarify and resolve situations and recommend action for attainable goals. Ability to formulate logical and objective conclusions from data and observations.

  • Ability to plan, organize, and prioritize daily operations, short and long-term projects. Ability to evaluate available resources and adjust schedule and priorities to meet established deadlines and complete projects. Ability to work collaboratively with individuals and groups to incorporate ideas.

  • Demonstrated effective, high level written communication skills to formulate and present written material in a logical and comprehensible manner. Excellent reading and comprehension skills to be able to understand and interpret complex material, documents and policies and recommend actions.

  • Demonstrated high level verbal communication skills to convey complex information to a diverse audience of administrative, managerial and academic employees and at all levels.

  • Ability to act independently and exercise sound judgement with the acumen and sensitivity to identify those decisions and activities which require higher level consultation and/or group collaboration.

  • Ability to continuously update knowledge through classes, policy manuals, independent study and interactions with colleagues across the campus and UC system.

  • Demonstrated knowledge of computer systems and applications, including word processing, spreadsheets and presentation software. Ability to incorporate computer technology to improve processes.

  • Strong portfolio of interpersonal skills: ability to interact with tact, diplomacy and sensitivity. Ability to maintain strict confidentiality and discretion in use of information.


  • Must have access to reliable transportation.

  • Overtime may be required.
