DESCRIPTION

The Transplant Administrative Analyst provides administrative support to the Director of the Center for Transplantation and overall management support to the development, implementation and administration of various clinical and administrative projects/initiatives. This position is also responsible for the program design and maintenance of other wide-ranging projects for the Transplant Center including coordination and planning of important, system-wide clinical initiatives. Strong working knowledge of the health care industry, ability to interface key stakeholders within the health system, physicians, transplant leadership, clinical staff, patients and international offices of various cultural, ethnic, and religious preferences with diplomacy, sensitivity, and tact is essential The Transplant Administrative Analyst analyzes issues and problems, gathers data and information, finds and evaluates alternatives and makes sound recommendations to keep projects and initiatives moving forward. Involves analytical studies on a variety of policies, projects, programs and issues in support of a function, research initiative, program and / or organizational unit, or in research of new or changing systems and programs. Assists in policy and program planning, development, administration, management and implementation; interprets, monitors and analyzes information regarding policies and procedures and provides consultative services to department administrators and other stakeholders.

MINIMUM QUALIFICATIONS

  • Six (6) years of related experience supporting director and manager level leaders including experience coordinating, maintaining and arranging complex calendars for meetings, appointments, and travel.

  • Experience and proven success in working knowledge of common organization- or research specific and other computer application programs.

  • Familiarity with the organization's processes, protocols and procedures.

  • Proven knowledge of common organization-specific and other computer application programs. Solid analytical/problem-solving skills. Experienced with data/information management software such as Excel for lists, project tracking, tables, etc.

  • Ability to deal with extremely sensitive and confidential issues. Excellent interpersonal skills including judgement, flexibility, diplomacy, and tact in possible demanding situations with diverse populations. Proven ability to maintain and project calm in fast-paced situations.

  • Demonstrated advising and counseling skills. Strong service orientation.

  • Strong skills to communicate effectively with all levels of staff, faculty, alumni/donors, students and external constituencies, both verbally and in writing. Excellent interpersonal, oral and written communication skills, including diplomacy, equity, tact, and flexibility.

  • Proven experience with manuscript preparation in a number of journal formats and citation/references compilation.

  • Demonstrated experience with preparing presentations, including using PowerPoint slides, tables, and graphs.

  • Experience in planning and organizing functions, meetings and/or special events. Includes preparing agenda, location discovery and reservations, logistics, arranging catering & entertainment, collating/distributing materials, and documenting/formatting minutes of meetings and ensuring action items are completed, followed-up and documented.

PREFERRED QUALIFICATIONS

  • Experience using UCSD Financial and Travel Systems.
  • Knowledge of UCSD Policy and Procedures.
  • Associate's or Bachelor's degree in a related field.
