Under the general direction of the Program Leader of the Hematologic Malignancies Program and the Executive Director for Cancer Research, the primary responsibilities of this position are in three areas: pre-award research administration; program management, and administrative support.
Incumbent has full functional responsibility for planning, implementing, evaluating, and communicating about program seminars, projects, and both internal and external events. Develop, implement and analyze systems to track program operations (e.g., procurements, supplies, personnel). These responsibilities include but are not limited to preparation of project proposals, marketing materials, reports, budget preparation, review/analysis of expenditures and requisitions for purchases, and coordination of activities with other divisions and departments.
Incumbent is also independently responsible for pre-award research administration for collaborative grants, which includes reviewing, analyzing, editing, and/or rewriting of components required in applications/proposals, working with the appropriate PI to develop budgets and prepare budget justifications, and interfacing with collaborating organizations to obtain required documents. Proposal submission includes using web-based campus proposal repository systems to upload proposal documents and coordinating with MCC fund manager and OCGA/HSPPO and for submission and the Office of Business Contracting for subawards and contracts.
Responsible for providing project management and support to the Deputy Director of Research and other Cancer Center leaders at the Moores UCSD Cancer Center. Responsible for a wide range of support to include processing medical, scientific and non-scientific materials, various correspondence, book chapters, manuscripts, manuscript reviews, abstracts. Collaborates with faculty, trainees, project managers and other staff (i.e. analysts, clinicians, and research assistants) to support organizational and research functions that bring reports, deliverables, peer-reviewed publications, presentations at professional meetings and other milestones to fruition. Maintain and keep current electronic and hard-copy versions of curricula vitae, biosketches and information for academic review for faculty/academic researchers.
Responsible for submitting, receiving and tracking, biological samples for laboratory personnel for research purposes. Duties will include maintaining a very complex and busy calendar for the Deputy Director, coordinating all aspects of foreign and domestic travel, including: reservations, confirmations, conference organizers, and reimbursements, as well as appropriate UCSD travel office to make travel arrangements for PI and members of the Research Unit. Order supplies and equipment for both research lab and general office. Lead all communications for the Blood Cancer Research Program, and prepare monthly newsletter. Act as office lead for the Donor Stewardship Program, and solicit donations from external sources.
Six (6) years of related experience, education/training, OR a Bachelor’s Degree in related area plus two (2) years of related experience/training.
Relevant research and/or project management experience in healthcare and/or finance.
Knowledge of basic financial management principles and the ability to analyze financial and budgetary data. Demonstrated experience in budget preparation using automated spreadsheet systems.
Working knowledge of common organization- or research-specific and other computer application programs. Proficient in the use of standard software applications such as Word, Excel, PowerPoint, Adobe Acrobat, Photoshop, email programs, databases, and internet browsers.
Proven ability to analyze, research and synthesize large amounts of data with strong attention to detail. Skill in analyzing information, situations, practices, and procedures to define the problem or objective, identify relevant factors, formulate logical and objective conclusions and recognize alternatives and their implications.
Demonstrated high level administrative skills to include experience with complex calendaring, domestic and international travel, and event/meeting planning.
Thorough knowledge of contract and grant proposal formats, preparation, and submission, as well as federal, state and private funding agency regulations. Ability to guide principal investigators and administrative contacts in the preparation of proposal, continuation, and renewal materials.
Strong effective writing skills and strong editing and proofreading skills. Ability to formulate and present written material in a logical and comprehensive manner.
Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing. Ability to communicate effectively with wide variety of people, individually and in groups, in varying mediums and venues (email, phone, presentations, meetings, social media, etc.).
Experience with program development, planning, operations and reporting requirements for extramurally funded grants and contracts.
Demonstrated experience organizing, implementing, analyzing, and managing continuing medical education curricula and seminars.
Working knowledge of applicable policy analysis techniques. Ability to independently interpret, analyze, and implement appropriate policies in a given situation. Ability to use discretion and maintain all confidentiality.
- Knowledge of University policies and procedures. Demonstrated experience using UCSD business management systems, such as Financial Link, My Travel, and My Events.
- Experience working with Endnote and Reference Manager.
