Asst Admin Analyst Hiring Salary Range: $16.89 - $23.30/Hour
Act as a member of the Vice Chancellor's Central Services Academic Affairs team, responsible for contributing to file preparation, system information development, and customer service standards. Under general supervision, serve as Academic Personnel Analyst/Asst. Admin Academic Personnel Analyst and independent professional and maintanance expert to several departments within Vice Chancellor, Health Sciences (VCHS). Provide leadership, planning, development, and comprehensive management of the Academic process, and training to faculty directly related to academic matters. Provide independent administration and coordination of academic personnel matters. Analyze, interpret, and make recommendations on complex academic personnel policies and procedures. Generates and reviews confidential documents of academic advancement, and provides analysis and recommendations. Responsible for all aspects of academic personnel for full time and adjunct faculty, professional researchers, voluntary clinical faculty, post doc scholars, visiting scholars and non salaried faculty. Serve as principal advisor to faculty, Division Administrators, faculty support staff, and Faculty Salary Specialists for assigned departments. Counsel and advise faculty on the academic review process and strategies and how to best progress academically to ensure the enhancement and achievement of faculty career goals. Conduct analyses on academic personnel issues related to leaves of absences. Initiate and implement advancements, and leaves of absences. Serve as benefits contact/liaison. Process Academic Personnel actions in on line Payroll Personnel system (PPS). Participate in short and long range planning and systems development. Maintain strict confidentiality. Utilize standard office computer programs such as Word for Windows, Access, PPS, IFIS, Outlook.
Demonstrated proficiency facilitating the academic review process for full time faculty and professional researchers including the ability to train staff on the duties and tasks related to the academic review process.
Demonstrated experience determining career path progression for new and junior faculty with ability to give sound advice on how to progress academically as defined by the faculty member, Division Chief and Department Chair.
Demonstrated experience in academic personnel and academic affirmative action policies and procedures, and in medical staff administration. Experience with California Medical Licensing Board.
Demonstrated proficiency analyzing CVs and histories; making sound recommendations as to placement in appropriate series, rank, and step. Demonstrated knowledge of faculty benefits.
Demonstrated proficiency facilitating the appointment process for post doctoral and visiting scholars including the ability to train staff on the academic process.
Demonstrated ability to work independently and handle diverse responsibilities including expertise at analyzing problems and recommending solutions. Extensive knowledge of University academic affairs policies and procedures with ability to independently interpret and analyze, propose solutions and apply them to non-recurring or precedent-setting situations.
Demonstrated experience communicating with all levels of academic, administrative and staff personnel, clearly and effectively on telephone and in person. Proven excellent oral and written communication skills, paying close attention to detail, spelling and grammar. Demonstrated ability to communicate ideas and recommendations.
Demonstrated computer experience to include MSWord, Access, Outlook, Paradox all in a Windows environment.
